Inbound DM Menus + Gated Files: Turn Profile Visitors into Leads

Menus answer repeat questions on autopilot; gated files trade value for contact details. Wire them into one flow and every comment, DM, and visit becomes a captured lead.

Most Instagram DMs are the same five questions: price, link, timing, availability, and how to book. An inbound menu answers them with tappable buttons — links, files, calendars — while gated files handle the deeper exchange: a lookbook, rate card, or guide in return for name, email, and WhatsApp.

  • Four to six buttons max: pricing, book a call, view catalog, get the free file, FAQs, talk to a human.
  • Every button resolves in one tap — no dead ends, no ask them to type a keyword back.
  • Non-followers get the menu automatically so cold interest never sits on seen.

Gated files that earn the opt-in

Gate with three fields only: name, email, WhatsApp. Each extra field drops completion. Deliver through a branded viewer so the file feels native, and log the visitor into the CRM with the source post attached for attribution.

Name the file for the outcome, not the format: rate-card-mumbai-2bhk.pdf beats brochure-final-v7.pdf. Specific files convert; generic ones get ignored.

Wiring triggers to menus to files

Keep one path per intent: a comment keyword fires the DM, the DM offers the menu, the menu offers the file. Do not branch casual praise into the same flow as buying intent — send praise to a thank-you plus follow nudge instead.

{
  "name": "Menu + file path",
  "matchType": "contains",
  "keywords": ["link", "price", "send", "guide"],
  "dmTemplate": "Hey {username} — based on your comment ({comment}), I pulled two things: the quick menu and the full guide. Tap below and grab whichever helps.",
  "publicReplyText": "Sent you the menu + guide — check DMs!",
  "replyPublicly": true,
  "menu": ["Pricing", "Book a call", "Get the guide", "Talk to us"],
  "gatedFile": "rate-card-guide.pdf"
}

Templates that feel human

Reference the comment, keep it to two or three lines, and end with one clear tap. Hey {username} — saw your question about {comment}, dropped the menu plus the file here beats check bio link every time because it proves a person read the comment.

Targeting and follow-gating

Gate premium files behind follower status when growth matters, but keep menus open to everyone. Target high-ticket rules at specific posts so a viral meme does not flood your sales pipeline with low-intent DMs.

QA checklist before go-live

  1. Comment each keyword from a test account and confirm the DM plus menu arrive within a minute.
  2. Tap every menu button and confirm links, files, and calendar open on mobile data, not just wifi.
  3. Submit the gate form with a fresh email and confirm the file unlocks and the CRM row appears with tags.
  4. Check the public reply renders once per comment and reads naturally in-thread.

What to measure weekly

  • Menu tap rate per button — retire buttons under 5% taps after 200 sends.
  • Gate completion rate — below 40% means fewer fields or a stronger file title.
  • DMs delivered versus sent — under 95% delivered means pause and check account standing.

Menus remove friction; gates capture value. Together they turn attention you rent into leads you own.
